Proctor Process Guide

Step 1: Preparation

  • Familiarize yourself with the Avant STAMP 4S Proctoring Guide

  • Provide proctoring guides, FAQ’s, videos, etc to teach how to proctor and properly setup a testing location

  • Make sure they connect with IT department to have someone set up technology before exam and be available during exam if any issues arise (headsets, activating languages on keyboards, network, browser)

  • Confirm with coordinator on login name criteria (student ID number, username, etc); give suggestions for login name

  • Communicate with IT department to purchase headsets if necessary

 

Step 2: Pre-Test

  • Work with IT coordinator and complete a Tech Check on each computer.

  • Have test codes and passwords for students to enter given by testing coordinator.

  • Have list of authorized test takers and/or ask test takers to provide photo ID.

  • Have students’ ID numbers available.

  • Have a printout of the Proctoring Guide ready.

  • Make students aware of average time of testing and/or any time restraints.

 

Step 3: Mid-Test

  • Provide specific instructions for each section to assist students (make them listen to their speaking responses, double check their writing submissions, etc).

  • Provide quick fixes list for common problems that arise during certain sections or across the entire test (talk to Karl about this).

  • Have the results account page logged in and open to monitor testing.

 

Step 4: Post-Test

  • If your test’s writing section was handwritten, follow the Handwritten Writing Section Guide.

  • Log into teacher reporting to view Reading and Listening scores and make sure that the writing and speaking submissions are submitted and captured.

  • Make sure every student has completed their exam and submitted every section.

 

Step 5: Results

  • Receive notification (email) from Avant when all tests in certain section have been graded (talk to tech team)

  • Provide guides on viewing and using the results, how to download as PDF/excel, print, etc.

  • Contact support for resetting any NR’s or technical difficulties

  • Schedule with students to retake any missed sections (makeups) or NR’s
